This Return Policy outlines the cancellation, refund, and rescheduling terms for corporate culture consulting programmes purchased from Vitaexpelvital through vitaexpelvital.world. As our services consist of professional consulting engagements rather than physical goods, this policy addresses the unique nature of our Culture Pulse Diagnostic, Leadership Cohesion Programme, Wellbeing Integration Sprint, and bespoke consulting engagements.
1. Nature of Our Services
Vitaexpelvital provides professional consulting services focused on building healthy corporate cultures. Our programmes involve scheduled assessments, facilitated workshops, leadership sessions, report generation, and follow-up support delivered over defined timeframes. Because consulting services are performed over time and involve dedicated consultant resources, standard consumer return rights for physical products do not directly apply. Instead, the terms below govern cancellations and refunds.
2. Cooling-Off Period
If you are a consumer or small business purchasing consulting services online or by distance contract, you may have the right to cancel within fourteen days of entering into the service agreement without giving any reason, in accordance with the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
However, if you expressly request that Vitaexpelvital begin delivering the consulting programme during the cooling-off period, you acknowledge that you may lose your right to cancel once the service has been fully performed. If the programme has been partially delivered during the cooling-off period, you may be charged a proportionate amount for the services already provided.
3. Cancellation by Client
3.1 Before Programme Commencement
If you cancel a confirmed consulting programme before the agreed start date, the following refund schedule applies unless otherwise specified in your service agreement:
- Cancellation more than thirty calendar days before the start date: full refund of any fees paid, minus a ten percent administrative fee
- Cancellation between fifteen and thirty calendar days before the start date: fifty percent refund of fees paid
- Cancellation fewer than fifteen calendar days before the start date: no refund, but fees may be credited toward a rescheduled programme within six months at our discretion
3.2 After Programme Commencement
Once a consulting programme has commenced, cancellations are handled on a case-by-case basis. Fees for completed sessions, delivered reports, and consultant time already allocated are non-refundable. Any remaining undelivered portion of the programme may be eligible for partial refund or credit, calculated based on the proportion of deliverables not yet provided.
3.3 How to Cancel
To cancel a consulting engagement, you must provide written notice to Vitaexpelvital at info@vitaexpelvital.world or by post to 34, New House, 67-68 Hatton Garden, London EC1N 8JY, United Kingdom. Your cancellation notice must include your name, organisation, programme name, booking reference if applicable, and the reason for cancellation. We will confirm receipt of your cancellation within three business days.
4. Rescheduling
We understand that organisational schedules can change. Clients may request to reschedule programme sessions or start dates subject to the following conditions:
- Rescheduling requests made more than fourteen days before a scheduled session incur no additional fee
- Rescheduling requests made between seven and fourteen days before a scheduled session may incur a rescheduling fee of up to fifteen percent of the session value
- Rescheduling requests made fewer than seven days before a scheduled session may be treated as a cancellation of that session with no refund for the affected session
- Programme start dates may be rescheduled once without penalty if requested at least thirty days in advance
Rescheduling is subject to consultant availability. We will make reasonable efforts to accommodate your preferred alternative dates.
5. Cancellation by Vitaexpelvital
We reserve the right to cancel or postpone a consulting programme in exceptional circumstances, including but not limited to consultant illness, force majeure events, or failure by the client to meet payment obligations. If we cancel a programme for reasons within our control, you will receive a full refund of any fees paid for undelivered services or the option to reschedule at no additional cost. If cancellation results from client breach of the service agreement, our standard cancellation refund schedule applies.
6. Refund Processing
Approved refunds will be processed within fourteen business days of cancellation confirmation. Refunds will be issued to the original payment method used for the purchase. If the original payment method is no longer available, alternative arrangements will be made in consultation with the client. Please note that your bank or payment provider may require additional time to reflect the refund in your account.
7. Programme-Specific Terms
7.1 Culture Pulse Diagnostic
Once employee surveys have been distributed or stakeholder interviews have commenced, the Culture Pulse Diagnostic is considered in progress and is subject to the after-commencement cancellation terms. Survey platform fees and consultant preparation time are non-refundable once the diagnostic phase has begun.
7.2 Leadership Cohesion Programme
Each facilitated leadership session within the programme is treated as an individual deliverable. Completed sessions are non-refundable. Cancellation of remaining sessions follows the partial refund calculation described in Section 3.2. Programme materials already delivered to the client organisation are non-returnable.
7.3 Wellbeing Integration Sprint
The wellbeing audit phase is considered commenced once consultant access to organisational data has been granted. Manager toolkit materials and team ritual designs delivered during the sprint are non-refundable once shared with the client. Implementation support sessions follow the standard rescheduling and cancellation terms.
8. Digital Materials
Consulting deliverables including culture reports, frameworks, workshop guides, and digital resource library access provided as part of our programmes are intellectual property of Vitaexpelvital, licensed for internal client use. These materials cannot be returned in the traditional sense. Upon cancellation, the client must cease using any materials received for undelivered programme portions and delete copies as directed in the service agreement.
9. Disputes
If you are dissatisfied with any aspect of our consulting services, we encourage you to contact us promptly at info@vitaexpelvital.world so we can work toward a resolution. We are committed to addressing client concerns fairly and professionally. If a dispute cannot be resolved through direct communication, either party may pursue remedies available under the governing law specified in our Terms of Use.
10. Changes to This Policy
Vitaexpelvital may update this Return Policy from time to time. Changes will be posted on vitaexpelvital.world with an updated revision date. The policy in effect at the time of your service agreement signing governs your engagement, unless otherwise agreed in writing.
